Step 1. Create a new data file (.pst) in Outlook.
* Outlook 2010:
a) In Outlook, go to the Home tab, then select New Items -> More Items -> Outlook Data File...
b) In the New Outlook Data File window, select "Outlook data file (.pst)" and click OK.
c) Select a name and location for your new data file, then click OK.
Your new data file should now be available in Outlook.
* Outlook 2003/2007:
a) In Outlook, select File -> Data File Management.
b) Click Add...
c) In the New Outlook Data File window, select "Office Outlook Personal Folders File (.pst)", then click OK.
d) Select a name and location for your new data file, then click OK.
e) Click OK in the create Microsoft Personal Folders window, then click Close in the New Outlook Data File window.
Your new data file should now be available in Outlook.
Step 2. Add folders to your new data file.
a) Open Outlook and press Ctrl-Shift-E on your keyboard.
b) In the "Create New Folder" window, type "New Contacts" for the Name.
c) In the "Folder contains" menu, select "Contact Items".
d) Under "Select where to place the folder", choose the data file you created in step 1.
e) Click OK.
f) Exit and restart Outlook.
NOTE: Repeat these steps to add Calendar, Task, and Note folders to your new data file. You'll need to make the appropriate changes in steps b) and c) for adding Calendar, Task and Note folders.
Step 3. Copy your Outlook data to the new pst file.
a) Open Outlook and press Ctrl-6 on your keyboard.
b) Select "Contacts" in the lower left-hand window pane.
c) In the upper-left hand window pane, click the folder that contains your Outlook contacts.
d) Press Ctrl-A on your keyboard to select all contacts.
e) Hold the right mouse button and drag all selected contacts to the new contacts folder you created in step 2.
f) Choose "copy" if prompted to move or copy.
NOTE: Repeat the steps as necessary to copy calendar, tasks, and notes to your new folders.
NOTE: To effectively copy all calendar data, you'll need to set your Outlook calendar to "List" view.
Step 4. Configure CompanionLink to sync with your new Outlook folders.
a) Open CompanionLink Setup and click Advanced Settings.
b) Go to the Outlook folders tab.
c) For each of the folder menus in this tab, choose the new Outlook folders you created in the steps above.
d) Click OK.
NOTE: If there is data on your device that came from an earlier synchronization with Outlook, you'll need to configure CompanionLink to wipe all records on your next sync. See this page for more info:
